A media relationship grows from a series of useful, reliable interactions. Being available, accurate, and respectful is a stronger foundation than contacting someone only when you need coverage.

Learn how the journalist works

Understand the beat, publication format, and typical sources. Notice whether the journalist covers breaking developments, long-form analysis, local issues, or practical guides. These differences affect what information is useful and how quickly it may be needed.

Be dependable when a question arrives

Acknowledge a request, clarify the deadline, and explain what you can provide. If you do not know an answer, say so and find the appropriate source. Sending a precise response on time is more helpful than promising access you cannot deliver.

Prepare spokespeople to answer the actual question. Give them context about the audience and subject, but do not assume the resulting article will follow your preferred framing.

Offer value between announcements

A relevant research finding, a knowledgeable source, or a useful correction can help even when it does not generate a mention for your organization. Keep the offer brief and make its relevance clear. Avoid manufacturing reasons to remain in someone’s inbox.

Respect the boundaries

  • Editorial coverage is the journalist’s decision.
  • A response does not create an obligation to publish.
  • A prior conversation does not make every new story relevant.
  • Contact preferences and removal requests should be respected.
  • Factual corrections should identify the specific error and evidence.

Maintain useful records

Keep business notes that improve future communication: the beat, a preferred contact method, and the subject of a previous exchange. Review them for accuracy and avoid unnecessary personal information. The goal is to make future interactions more relevant, not to turn a professional relationship into a volume target.
